The old way

You hire a new sales rep and the only way to give them access is your own password. Now they can see your margins, your supplier costs and every chat the AI ever had.

Same dashboard. Three different views.

Moderators are built for sales reps who close deals. They work only qualified leads: changing the stage and score, adding notes and creating tasks. They can look up customers in the CRM, but they don't see conversations, packages, finance, the AI settings, the team or agency settings. The AI does the early filtering, and your reps spend their day on people who are ready to book.

View the dashboard as

  • Everything, with exactly one owner per agency
  • The only one who can transfer ownership
  • Can't be removed or demoted by anyone

Who can do what

Three roles, cut the way agencies actually work

Flyby has three roles, and they map to how travel agencies actually work. The owner sees and controls everything and can never be removed or demoted by anyone else. Managers get the same full access to conversations, leads, the catalog, finance, the AI agent and settings, so a branch manager or partner can run the business day to day, but they can't remove or demote the owner.

Adding someone

A private link, not a shared password

Adding someone takes a minute. Create an invite for their email with the role you want, then share the private link on WhatsApp or by email. They sign in with that same email and they're in. Links expire after 14 days and can be revoked any time. And the rules aren't just hidden buttons: they're enforced in the database itself and checked again on every page and action.

  1. 1

    Invite by email

Enter your colleague's email, choose manager or moderator, and Flyby creates a private invite link for them.

  2. 2

    Share the link

Send it on WhatsApp or by email. They sign in with the same email to join; the link expires after 14 days.

  3. 3

    They see their part

Each member lands on a dashboard that matches their role. Change a role or remove someone whenever you need to.

Not just hidden buttons

Enforced twice

Even if a moderator opens a direct link, there's nothing behind the door.

Shield 1

On every page and action

Each page and server action checks the member's role before it loads or saves anything.

Shield 2

In the database itself

Row-level security filters every query by agency and role, so even a direct request gets nothing it shouldn't.

Team setups

However your agency is organised

OwnerModerator×2

A growing sales team

You hire two new reps for Umrah season. As moderators they open the dashboard to qualified leads only, with the trip details the AI already collected. They update stages, log calls and set follow-ups, without ever seeing your supplier costs or the agency's finance pages.

OwnerManagerModerator×3

Agencies with a branch manager

Your Alexandria branch is run by a manager you trust. They handle conversations, packages, bookings and payments just like you would, and can invite their own staff. The one thing they can't do is remove or demote you, so the agency always stays yours.

OwnerManager

Handing the business over

A founder is stepping back and a partner is taking over. Promote the partner to manager, then transfer ownership to them. You become a manager automatically, and only the new owner can transfer it back. No support tickets, no shared passwords.

The short version

House rules

  • Three roles: owner, manager and moderator
  • The owner can never be removed or demoted by anyone else
  • Managers run everything day to day, except touching the owner
  • Moderators work qualified leads only: stage, score, notes and tasks
  • Moderators can view CRM contacts but not conversations, catalog or finance
  • Invite by email with a private link valid for 14 days
  • Change roles, remove members or revoke invites any time
  • Transfer ownership to a manager when the business changes hands

Questions

Asked before you invite anyone

Not today. There are three fixed roles, owner, manager and moderator, designed around how agencies split the work. That keeps access simple to understand and hard to misconfigure.

Hand out the badges

Start as the owner, invite your team in a minute, and let everyone open exactly what their job needs.
